Forms is the workspace for collecting information from people inside and outside your organization. Start with the response you need to collect, then build the shortest form that supports the workflow.
Start with a goal
What do you want to do?
Choose the outcome that matches the work in front of you. You can come back to the deeper reference sections when you need details.
Create a form
Start from All Forms and define the questions, configuration, and presentation needed for the workflow.
Build the questions
Use the Form Editor to collect only the information your staff actually needs.
Publish and share
Use the public form experience so people can respond without entering the staff workspace.
Turn a response into follow-up
Review submissions and connect the form to a Journey when the response should start a staff process.
Recommended flow
A good first workflow
- Define the information you need and the workflow the response should support.
- Build the form and review the public experience.
- Publish and share the form link with the intended audience.
- Review submissions and route follow-up into Journeys when the process continues over time.
Forms workspace
Section titled “Forms workspace”Open Forms → All Forms to see the forms available to your organization and start a new one. Each form can be opened in the Form Editor when you need to change its questions, configuration, or presentation.
Build and edit a form
Section titled “Build and edit a form”The Form Editor is the working area for creating and updating a form. Keep the form focused on the information needed for the workflow it supports, and review the public experience before sharing it broadly.
Publish and share
Section titled “Publish and share”Published forms use OKTO’s public form experience, so a person can complete a form without entering the staff workspace. Share the public form link wherever the response should be collected.
Review submissions
Section titled “Review submissions”Use the submissions view for a form to review the responses that have been received. Submission data remains connected to the form that collected it so staff can work from one source instead of maintaining separate response files.
Forms and Journeys
Section titled “Forms and Journeys”Forms and Journeys are separate areas in the current OKTO navigation. A form collects information; a Journey manages follow-up and movement through a process. Use them together when a submitted form should become the starting point for a next-step workflow.
