Privacy and Pastoral Follow-Up
Section titled “Privacy and Pastoral Follow-Up”Engagement data can be sensitive because it combines behavioral signals into a pastoral view. Access should be limited to team members who need it for ministry, care, or approved operational work.
Organization isolation
Section titled “Organization isolation”Engagement records and source activity belong to the organization that collected them. Data from one church must not be visible to another organization.
Use context before action
Section titled “Use context before action”A low-engagement or at-risk result can have many explanations: travel, illness, schedule changes, a new job, changed communication preferences, or incomplete data. Treat the result as a reason to review the person’s context—not as a conclusion about commitment.
Follow-up practices
Section titled “Follow-up practices”- Assign follow-up to an appropriate leader when your workflow supports ownership.
- Avoid duplicating outreach when another staff member is already engaged.
- Record useful outcomes so future reviewers understand what happened.
- Respect communication opt-outs and channel preferences.
- Use the least intrusive outreach that fits the situation.
Keep scoring policy documented
Section titled “Keep scoring policy documented”If your organization changes which signals count or who is included in scoring, update the scoring configuration and documentation together so leaders understand what the score actually represents.
